Commencing from 1st August 2009 all learners aged between 14 and 19 will require a Unique Learner Number (ULN) in order to process their registrations. We will also be phasing in ULNs for all other learners over the coming year.

Tracking learners' progress, mapping their achievements and recording these for scrutiny by the Internal and External Verifiers is an essential part of quality assurance in OCN accreditation. We hope that these can templates help you.
Do these apply to QCA Qualifications?
Some qualifications such as the Essential Skills Framework and some complex programmes such as Languages already have a prescribed set of record documents. You should continue to use those, although you may find some helpful ideas from these templates.
This is a set of document templates to support tutors and internal Verifiers in setting up a workable and coherent tracking and recording system for learners’ achievements. It starts with Assessment planning for each unit of assessment. Documents for individual learners’ records show what and where the evidence will be. Internal Verification activity can be clearly recorded for tutors and for the external Verifier.
Guidelines are given for key documents; others are self-explanatory.
Can the documents be customised?
Yes, most of them could be adapted to suit specific circumstances. However, we suggest that you keep modifications to a minimum, so that they retain a common appearance and can therefore be quickly understood by Verifiers and others. You will be able to access them on screen for completion and customising. We strongly advise you to use this method so that you can ‘cut and paste’ easily from one to another.
Can we devise our own recording documents?
The templates are intended to support providers, but where existing documents are working well, we do not insist that the OCNSER ones are used. They may, however, be used to fill gaps or to provide ideas for customising existing documents. We have tried to reflect current developments in the way Units of Assessment are presented, and particularly to link the planning of an Assessment Strategy with the assembling and presentation of learner evidence
Do we need to use all of them?
No! Two are essential, namely, the Tutor Assessment Planning Form and the Individual Learner Record for Unit Achievement Form
